Introducing On-Demand Screenshots
Check out how our newest feature, On-Demand Screenshots, works and how it can help you improve your team's workflow.
From music to television, everything is becoming on-demand. And now that includes our On-Demand Screenshots feature too.
Up until now, Insightful has given you the option to automatically take a set number of screenshots of your employees’ computers at random intervals during each hour.
However, many of our clients expressed a desire for even more control over the Screenshots feature. And, as always, when you tell us you want a feature, we make it happen!
As a result, we're pleased to introduce On-Demand Screenshots, a feature that allows Insightful Admins and Managers to take screenshots at any time of day.
How to Use On-Demand Screenshots
The On-Demand Screenshot feature will be enabled automatically for all existing Insightful Admins, while the setting will need to be enabled for Managers.
Admins and Managers who have permission to take on-demand screenshots will be able to access this feature from the Real-Time Insights tab.
Next to the app employees are currently using you’ll see a screenshot button. Once clicked, Insightful will start processing the screenshot for this employee.
If the option to blur screenshots isn’t turned on, the on-demand screenshot will show up in the Screenshots tab immediately. However, if screenshot blurring is on, it will take about 30 minutes for Insightful to process the screenshot.
If screenshots aren’t enabled for a specific employee, Managers and Admins won’t be able to take on-demand screenshots for this team member.
Updating Screenshot Permissions for Managers
To add Manager permissions for On-Demand Screenshots, navigate to Settings > User Management. Once there, click on the three dots next to a Manager’s name.
This will bring up the Manager permissions window. Look for the Screenshot Permissions option, then simply check the box to allow a manager to take screenshots on demand.
The Benefits of On-Demand Screenshots
On-Demand Screenshots can be used to help you observe user behavior more closely and identify potential compliance issues.
For example, if you suspect that an employee is mishandling or gaining unauthorized access to company data, you can take an On-Demand-Screenshot to capture the infraction when they’re accessing a shared drive. This enables you to spot if they’re trying to copy or download company documents.
Just like Automatic Screenshots, On-Demand-Screenshots can also help you spot bottlenecks and discover if employees are in need of additional support to complete their daily tasks.
For instance, one of our clients used Screenshots to identify that some employees were using a less efficient process for creating internal reports in Google Sheets. They used this knowledge to organize a small workshop to show their workers how to create reports in a faster way, using Screenshots of the more efficient process as part of the training.
Final Thoughts
On-Demand Screenshots is a Premium feature of Insightful. However, the good news is that for a limited time all of our clients will have access to the feature.
We’re making On-Demand Screenshots accessible to all users so you’ll be able to evaluate and assess whether it’s something your team will need in the future.
On-Demand Screenshots is one of the most highly requested features we’ve had from our clients, and we're pleased to add it to Insightful’s ever-growing functionality.
